1. Who we are

TK Hockey UK Ltd (“we”, “our”, “us”) is committed to protecting your personal data. We are the data controller for all personal data we process in the course of our business, including data collected through our website, www.tkhockey.co.uk.

2. What personal data we collect

We collect and process the following personal data:

  • Name
  • Billing and delivery addresses
  • Email address
  • Telephone number
  • Payment details (processed by third parties – we do not store card data)
  • IP address and browser/device info
  • Order history
  • Basket contents (temporarily stored)
  • Business contact details we obtain from open public sources (for example, publicly listed contact details on club or school websites, and public directories) — typically name, role/organisation and a work email or telephone number, for the purpose of B2B outreach about our products. See section 4a below.

3. How we collect your data

We collect data directly when you:

  • Place an order
  • Register for an account or check out as a guest
  • Subscribe to our newsletter
  • Contact us
  • Use our website (via cookies or analytics tools)

We may also obtain business contact details about you from open public sources when we are considering contacting your organisation about our products. This applies to a small number of business contacts (for example, coaches or coordinators at clubs and schools). It is ad hoc, purpose-driven, and limited to what is necessary. Full detail is in section 4a.

4. How and why we use your data

We use your data to:

  • Process and deliver your orders
  • Communicate order status and updates
  • Respond to your enquiries
  • Send marketing communications (with consent)
  • Improve and personalise your experience
  • Analyse website use (via analytics tools)
  • Track basket contents (for convenience)
  • Manage customer relationships and sales interactions
  • Where relevant, contact business contacts at hockey clubs and schools with information about our products (see section 4a)

Our legal bases under UK GDPR are:

  • Performance of a contract (e.g. taking and delivering an order)
  • Legal obligation (e.g. HMRC accounting records)
  • Consent (e.g. for email marketing)
  • Legitimate interests (e.g. improving our service, targeted B2B outreach, CRM follow-up)

Where we rely on legitimate interests we carry out a Legitimate Interests Assessment to make sure our interest is not overridden by your rights. You can ask us for a summary of that assessment at any time.

4a. Business contact details from public sources

If you are receiving communication from us and wondering how we got your details, this section explains it.

Where we identify a hockey club, school or coach we think may be interested in our products, we may look up publicly listed business contact details — for example, contact information published on a club or school website, or in a public directory. We only collect business contact details (name, role/organisation, work email or telephone) and only when we intend to make contact about a specific business opportunity. We do not do bulk collection, we do not scrape LinkedIn or other social platforms, and we do not act as a data broker.

Our lawful basis for this processing is legitimate interests (Article 6(1)(f) of the UK GDPR) — specifically, contacting people at organisations that may have a genuine interest in our products. Our Legitimate Interests Assessment is available on request.

You will always be told, in our first message to you, that we obtained your details from a publicly available source. If you would prefer not to be contacted, every message includes a clear way to opt out. On request, we will delete your details and add you to a suppression list so we do not contact you again from the same source.

Data obtained this way is kept only for as long as it remains relevant. We review these records at least every 6 months and delete any contact who has not engaged within 12 months. We do not collect any special category data (such as health or political views) from public sources.

5. Sharing your data

We share your data with categories of service provider who act on our instructions under written data processing agreements. These typically include:

  • Payment processors
  • Marketing and communications platforms
  • Analytics and advertising providers
  • CRM and sales pipeline platforms
  • Inventory and order management platforms
  • Website and e-commerce platforms and plugins
  • Delivery and courier services
  • Approved AI tools used for drafting, research and document preparation, with model training on our data disabled

The specific providers we use may change over time as we update our tools. We only use providers who are contractually required to safeguard your data and comply with the UK GDPR. If you would like the current list of named providers, please contact us at enquiries@tkhockey.co.uk.

5a. We do not sell your data

We do not sell personal data. We do not share personal data with any third party for that third party’s own marketing or commercial purposes. The providers listed above only process data on our instructions to help us run the business.

6. International data transfers

Some data may be transferred outside the UK, for example to service providers based in the United States. Where this occurs, transfers are covered by the provider’s standard UK transfer mechanism — typically the UK Addendum to the EU Standard Contractual Clauses provided as part of the provider’s Data Processing Addendum — together with a transfer risk assessment where required.

7. How long we keep your data

We retain:

  • Order and transaction data: 7 years (HMRC record-keeping obligation)
  • Marketing consent: until you unsubscribe, or after 2 years of inactivity
  • Basket contents: up to 30 days
  • CRM contacts and prospects: for the duration of our relationship with you, plus 7 years
  • Website analytics data: up to 26 months
  • Business contact details obtained from public sources: reviewed at least every 6 months and deleted after 12 months of non-engagement, or sooner on request

8. Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data (in certain cases)
  • Object to us processing your data, including for legitimate interests and marketing
  • Withdraw consent at any time
  • Ask us to restrict how we use your data
  • Data portability, where applicable
  • Not be subject to solely automated decisions that have legal or similarly significant effects on you

To exercise any of these rights, contact us at enquiries@tkhockey.co.uk. We will respond within one calendar month.

You also have the right to make a complaint to the Information Commissioner’s Office (ICO) at www.ico.org.uk or 0303 123 1113. We would appreciate the chance to address your concern first, but you can complain directly to the ICO at any time.

9. Marketing

We will only send you marketing communications with your consent. You can unsubscribe at any time using the link in our emails.

Business contacts we contact under legitimate interests (see section 4a) can opt out at any time and every message will make that clear.

10. Security

We take appropriate technical and organisational measures to safeguard your data, including SSL/TLS encryption for data in transit, access controls, multi-factor authentication where available, secure cloud storage, and secure disposal of records. Our providers are chosen with these safeguards in mind.

11. Cookies

Our website uses cookies to help it function and to help us understand how visitors use it. You can manage your cookie preferences via the cookie banner on the site and in your browser settings. For non-essential cookies (analytics, advertising), we ask for your consent before setting them.
